Terms & Conditions & Entry Waiver
By entering any event delivered by The Event Crew Limited, you agree to the terms outlined below. Please read them carefully, as they relate to your safety, eligibility, responsibilities, and rights as a participant.
1. Timing System & Race Identification
All participants must wear the issued electronic timing strap for their event. You are responsible for ensuring it is secured to your ankle before starting. Timing straps must not be swapped or transferred to another athlete.
2. Timing Strap Replacement
If you do not return your timing strap at the end of your race or if it is lost during the event, a $50 incl. GST replacement fee will apply.
3. Physical Readiness
By entering, you confirm that you are fit, healthy, and appropriately trained for your selected event. You acknowledge that your physical condition has been assessed by a medical professional, or you confidently believe you are able to safely participate.
4. Acknowledgement of Risk
You understand that participation in endurance events carries inherent risks, including but not limited to: overexertion, dehydration, hypothermia, heart complications, equipment failure, collisions, and environmental hazards. You accept these risks voluntarily.
5. Release of Liability
By taking part, you waive and release The Event Crew Limited — including directors, contractors, employees, event partners, landowners, sponsors, volunteers, and medical staff — from all liability (including negligence) for any injury, loss, or damage connected to your participation.
This waiver is ongoing and applies to your heirs, executors, and assignees.
6. Medical Support
You consent to receiving medical treatment deemed necessary by event staff, medical teams, or emergency services during or after the event.
7. Safety Briefings & Event Rules
You acknowledge that safety measures such as marshals, supervision, or briefings assist with risk management but do not eliminate risk. You agree to read all provided event information, attend all compulsory briefings, follow all instructions given by event officials, and seek clarification when needed.
8. Media Consent
You consent to The Event Crew Limited using your name, event images, and video footage for promotional, reporting, and media purposes across all platforms.
9. Personal Property
The Event Crew Limited is not responsible for the security of your personal belongings at the event.
10. Refund Policy
All registrations are non-transferable and non-refundable. Entries cannot be moved to another event, series or season. We do not offer refunds or postponements under any circumstances.
This applies to all situations — no exceptions, no grey areas.
What we do offer is a person-to-person transfer. This must be arranged at least 7 days before the event day. Email us at info@akl100.nz for more info.
11. Event Communications
You agree to your name and contact details being added to the event database. This information may be used by The Event Crew Limited and event partners for communication and promotional purposes. You may unsubscribe at any time.
12. Changing Your Event
If you wish to change your event distance or category, you must notify registration staff before your race. Failure to do so may void your time, result, or points.
13. Compliance with Event Staff
You agree to follow all event rules and all instructions given by The Event Crew Limited’s staff, safety teams, lifeguards, suppliers, contractors, and volunteers.
14. Event Changes
If necessary, due to conditions beyond the control of event management, the format, course, date, or location of the event may change. You agree that these terms still apply to any modified event.
15. Weather, Safety & Cancellation Policy
In the event of poor weather, unsafe conditions, natural disaster, or any situation that prevents the event from safely proceeding, no cash refunds will be issued. If possible, a postponement or transfer option may be offered.
16. Age Requirements
Participants must be 18 years or older, unless otherwise permitted below.
17. Participants Under 18
Athletes under 18 must have their parent or legal guardian read and agree to these Terms & Conditions during the registration process. Parents/guardians confirm that their child is confident, capable, and adequately prepared for their chosen event. Supervision may be required depending on the activity.
18. Promotions & Discount Codes
Only one discount code or promotion may be used per entry. Discounts cannot be combined. The highest eligible discount will automatically apply.
19. Drone Use
You consent to drones being operated above or near the event for filming and promotional purposes by The Event Crew Limited or contracted media teams.
20. Updating Your Entry Information
Participants are responsible for ensuring all personal information (including emergency contacts) is accurate. Updates can be made via your Race Roster account. If changes are required on event day, please see the registration team before prizegiving.
TRIATHLON EVENT WAIVER & LIABILITY RELEASE
Please read carefully. By completing your registration, you agree to the terms below.
1. Acknowledgement of Risk
Participating in a triathlon, aquabike, duathlon, swim-run, open-water swim, or any related activity involves inherent risks. These may include drowning, collisions, falls, equipment failure, weather changes, marine life, tides and currents, dehydration, heat illness, fatigue, and other hazards outside the organiser’s control.
By entering, you acknowledge and accept all such risks.
2. Health & Fitness Declaration
You confirm that you are physically fit, have trained appropriately, and have no medical condition that may affect your participation.
You agree to withdraw from the event if you become unwell, injured, or unsafe to continue.
You understand that you are responsible for monitoring your own health at all times.
3. Equipment Responsibility
You are responsible for ensuring that your bike, helmet, wetsuit, and all other equipment are safe and fit for use.
Your helmet must meet approved safety standards and be securely fastened during the bike leg.
The event is not liable for any loss or damage to your personal equipment.
4. Following Event Rules
You agree to follow all briefing instructions, signage, course markings, marshal directions, and traffic rules.
Drafting on the bike is not permitted unless stated otherwise.
Unsafe behaviour, rule breaches, or misconduct may result in penalties or removal from the event.
5. Medical Treatment Consent
You consent to receive medical treatment, first aid, or emergency assistance deemed necessary by the event team or emergency services.
You understand that any medical costs incurred are your responsibility.
6. Assumption of Risk & Release of Liability
To the fullest extent permitted by law, you:
Assume all risks associated with participation
Release the event organiser, sponsors, volunteers, contractors, councils, property owners, and partners from liability for any injury, loss, illness, or damage
Waive any claim arising from negligence, environmental conditions, third parties, or unforeseen circumstances
This release applies to you, your family, your estate, and anyone acting on your behalf.
7. Indemnity
You agree to indemnify the event organiser and partners against any claims, damages, or costs arising from your actions, rule breaches, or failure to follow event instructions.
8. Media & Photography
By entering, you grant permission for the event to capture and use photos, videos, audio, and drone footage for promotional and operational purposes.
All media remains the property of the event.
9. Withdrawals, Refunds & Event Changes
You acknowledge that:
The organiser may alter, postpone, or cancel the event for safety, weather, or authority reasons
Changes to distances, start times, or format do not entitle you to refunds unless required by law
If you withdraw or do not start, you are not entitled to a refund unless specified in the event’s refund policy.
10. Parent/Guardian Consent (Under 18)
If entering a minor, the parent/guardian confirms they:
- Accept this waiver on the minor’s behalf
- Take full responsibility for their safety and conduct
- Ensure the minor understands the rules
11. Agreement
By completing your registration, you confirm that:
- You have read and understood this waiver
- You agree to all conditions listed
- You participate voluntarily and accept full responsibility for your involvement
- This waiver applies to all event-related activities, including training sessions and meet-ups
